Barcode and QR inventory

Count inventory on Android with single or controlled auto-scan, spreadsheet catalogs, reconciliation and branded exports. Android phones, tablets and foldables.

Before you begin

  • The mobile NotzUp app, currently available on Android, with Pro or Organization access. This inventory scanner is not available on desktop or web.
  • Camera permission, readable labels and an authorized stock count. Prepare a CSV, XLS or XLSX catalog if you want expected quantity comparison.

Step by step

  1. Single mode: tap, copy or search

Exclusive to the mobile app, currently Android, with Pro or Organization only—not Plus, web or desktop. Single mode reads only after you tap the on-camera Scan code button. No tap means no scan. Copy keeps the code local; Search online deliberately sends the selected code for lookup.

  2. Inventory: deliberate scanning

In Inventory mode, Scan one reads one code after a tap. Start auto deliberately enables automatic scanning; Stop auto ends it. Without a tap there is no scan unless auto mode is explicitly active.

  3. Choose lighting and formats

Use the torch when needed and choose retail, QR, warehouse or all-format profiles for the codes you expect. On phones, camera controls remain visible above the result sheet; tablets and foldables show camera and results together.

  4. Count and keep history

Repeated codes become quantities and remain in chronological history. Name the session and review counts before reconciling or exporting.

  5. Import and compare stock

Import CSV, XLS or XLSX with Description, Article ID, Barcode, expected Quantity, Warehouse, Location and Unit. Compare expected, scanned, difference and updated quantity; review matched, short, over and unlisted items.

  6. Export the reviewed count

Export CSV, Excel with detailed and totals sheets, or a branded PDF. Check quantities and unknown items first. Export is not an automatic share or online search.

  7. Android phones, tablets and foldables

The touch interface adapts to phones, tablets and foldables. Google TV is not supported.

On phones, camera controls stay visible above the result sheet. Tablets and unfolded foldables use a camera/results layout; touch controls adapt to the screen.

  8. Name an Android inventory session

Barcode and QR scanning and inventory are exclusive to the Android mobile app with Pro or Organization. Open Inventory, name the session with its date and warehouse/location, and choose the profile suited to your labels.

  9. Separate Single from Inventory

Single mode reads only when you tap. Copy the code or deliberately start an online product search if needed. Inventory mode records a count: use manual capture, or press Start for automatic scanning and Stop before moving or reviewing. Never leave automatic scanning running unattended.

  10. Set torch and profiles

Enable the torch where supported. Keep barcode or QR labels steady and reduce reflections. Choose the relevant format profile for the warehouse workflow; unrelated formats can cause unwanted reads.

  11. Review quantities and history

Repeated codes become quantities and remain in session history. Stop scanning to inspect entries and correct accidental repeats or manually counted units. Confirm counts against physical stock.

  12. Look up a code deliberately

Request online search for one selected code only when wanted. The external service receives the submitted code or terms; its result is not a verified catalog or brand match.

  13. Import and map the catalog

Import CSV, XLS or XLSX. Use the available worksheet/header mapping to match description, item ID, barcode, expected quantity, warehouse, location and unit. A combined warehouse/location column can be used where supported. Keep identifiers as text to preserve leading zeros, quantities numeric, and preview the mapping before accepting.

  14. Review discrepancies

Compare expected and scanned quantities and the difference (scanned minus expected). Review missing items, shortages, excess and out-of-catalog codes. Check warehouse/location mapping and verify the physical count before setting the updated quantity. An export does not automatically update an external stock system.

  15. Export the reviewed count

Stop scanning and export updated inventory to CSV, Excel or branded PDF. Check identifiers, quantities, locations and unknown items locally before sharing. Optional inventory backup requires 2FA and your recovery key.

Sample catalog schema

Illustrative stock only. Map Description, Article ID, Barcode, Quantity (expected), Warehouse, Location and Unit to the corresponding import fields. If your version uses a combined Warehouse/Location field, combine those values before import. Preserve leading zeros as text.

Description,Article ID,Barcode,Quantity,Warehouse,Location,Unit
Notebook,A-001,0012345678905,12,Main,A1,piece
Storage box,A-002,0098765432106,6,Main,B2,piece

If expected is 12 and scanned is 10, the difference is −2. Review shortages, excesses and unknown codes before setting the updated quantity; the physical count determines the correction.

Expected result

A named, reviewed inventory count with expected/scanned/difference values, unknown items and updated quantities, ready for CSV, Excel or branded PDF export.

Privacy and permissions

Recordings, files, searches, scans, OCR, barcode counts and supported local-AI results do not leave the device by default. Only a deliberate online action—Share, Search online, connector authorization or encrypted backup—transmits the selected data or value. Language-pack downloads do not upload the source text. Scanning and counting run on your Android device. Online one-code lookup is explicit and external. Catalogs and exports may contain commercially sensitive stock/location information; encrypted inventory backup is optional.

Troubleshooting

Inventory is missing

Check that you are using Android mobile and the selected account/workspace has Pro or Organization access. Web and desktop do not have this inventory scanner.

Unexpected duplicate or unknown item

Stop auto-scan, compare the physical item, check leading zeros and the catalog barcode/location mapping, then correct the count manually.

Spreadsheet import looks wrong

Use the sample schema, keep identifiers as text and quantities numeric, and review delimiter, worksheet and header mapping offered by your installed version.
