Sharing

Share reviewed fields with named recipients and understand expiry, revocation and permanent external copies.

Before you begin

  • Content you own or are authorized to publish, and a known intended recipient.
  • Review the selected fields and any sensitive personal or Organization material before sharing.

Step by step

  1. Choose only needed fields

Start from the approved summary/actions projection. Do not include transcripts, media or private notes unless you explicitly intend and are permitted to disclose them.

  2. Review the exact shared version

Inspect the preview, recipient, expiry and any download option before creating the share.

  3. Send the intended link

Copy/share the secure link deliberately. A named recipient must authenticate with the exact verified identity and accept required terms; forwarded links do not grant unrelated people access.

  4. Review and revoke

Use Shared by me/with me to review grants, expiry and access. Revoke when access is no longer needed; new edits are not silently added to an immutable shared version.

  5. Treat exports differently

Email copies, downloads and manually shared exports are permanent recipient copies. Revoking a NotzUp grant cannot recall them.

Expected result

A deliberate shared projection for the named authorized recipient, with reviewable expiry/revocation.

Privacy and permissions

Recordings, files, searches, scans, OCR, barcode counts and supported local-AI results do not leave the device by default. Only a deliberate online action—Share, Search online, connector authorization or encrypted backup—transmits the selected data or value. Language-pack downloads do not upload the source text. Sharing consumes publisher storage for the shared version; recipient pointers do not create a second content quota charge. A share never grants organization-wide access.

Troubleshooting

Recipient cannot open

Check exact verified identity, expiry, revocation and acceptance. Do not bypass identity checks or publish a broad public copy as a workaround.

Edits do not appear

A published shared version is frozen. Review and publish a new intended version rather than assuming existing recipients see all edits.
